Shared Bookings

Staff in Microsoft Bookings: roles, hours, notifications

How staff work on a Microsoft Bookings shared page: roles, internal and external staff, membership approval, working hours, calendar sync, alerts and limits.

Last updated 12 sources

Staff are the people a shared booking page can book, and the people who can open and manage it. Each person on the Staff page has a role, a set of working hours, a switch that lets their Outlook calendar block times, and a switch for email alerts. Being on the staff list doesn't make someone bookable for a service: they also have to be selected on that service's Assign staff page, and they may have to accept an invitation first. This chapter maps every staff setting as of October 2026 and links to the answers that go deeper.

Microsoft Learn uses "staff member" and "team member" for the same thing. Bookings with me (Personal Bookings) has no staff list; everything here applies to shared booking pages.

Roles#

A page has five roles in practice: Administrator, Scheduler, Team member, Viewer and Guest. What each can see and change is set out in what each staff role can do. In short, Administrators run the page, Schedulers manage every booking but only read settings, Team members manage their own bookings and hours, Viewers see everything and change nothing, and Guests can be booked but can't open the page.

The Microsoft Learn pages still disagree about the list:

Microsoft pageRoles it names

Add staff article, role stepTeam member, Scheduler, Viewer, Guest
Bookings FAQAdministrator and Viewer can open a calendar; only Administrators download the bookings report
Turning Shared Bookings on or offStaff can be added "in any capacity (including the administrator role)"
Service types article"To create a service, you must be added as an administrator (staff role)"

Treat Administrator as a real role, and give it to two or three people per page so the page survives someone leaving. A Global admin isn't automatically an Administrator of any page; see how an admin can open every calendar.

Adding staff#

Select Staff → Add new staff. For someone in your organization, type their name and pick them; Microsoft says the other fields fill themselves. For anyone else, type their name and email address by hand.

A licensed user in your tenantAny role; calendar sync available—

A room or piece of equipmentWorks only as a pretend staff member, with side effectsShared rooms and resources
Yourself, as the page creatorYou're on the list from the startRunning a page without being bookable

A page holds up to 100 staff, whatever their roles. The 30 and 31 figures on forums come from a 2022 drop-down and an API quirk; see the staff limit.

To give someone administrator access without putting them on the staff list at all, Microsoft documents granting Full Access and Send As on the booking mailbox. The add-staff article says this only works if the person isn't already a Viewer on that page.

Staff settings#

These are on each person's details on the Staff page.

Staff can't have their own time zone. The FAQ says "there's no provision to set time zone for staff in Bookings", so custom hours are entered in the business time zone. That matters for remote teams; see wrong time zone.

Membership and approval#

When someone is added, Bookings emails them an invitation to join the page. They can accept from that email or from the Bookings home page, which also shows a pop-up for pending invitations. Microsoft lists three states for each person:

StateMeaningBookable?
Accepting bookingsThey joined the pageYes
Approve to receive bookingsThey haven't respondedNot if the tenant requires approval
Not accepting bookingsThey declinedNo

The tenant setting Require staff approvals before sharing free/busy information (admin center → Settings → Org settings → Bookings) makes acceptance mandatory: staff are not bookable through a shared page until they opt in. The FAQ's answer to "how do I change a bookable attribute?" is that staff can open the same email and select Reject. Microsoft doesn't document resending the invitation. If someone is stuck, work through staff added but not bookable.

Availability#

A staff member can be booked for a slot only if all of these allow it:

  1. The page's business hours.
  2. Their own hours, if Use business hours is off.
  3. The service's availability (staff free, custom hours or date ranges).
  4. Their Outlook calendar, if calendar sync is on and Bookings can read it.
  5. Their existing Bookings appointments on this page, and any time off recorded in the Calendar.

The availability data the public page receives already has staff hours, Outlook busy time, existing bookings and service windows combined for each person, according to our September 2026 captures. The page then applies lead time, the booking window and slot spacing itself. The full order of operations is in how availability is calculated.

The usual gaps, as of October 2026:

  • Free/busy not shared. Each person shares their calendar with People inside your organization as Can view when I'm busy. Without it the page may show "This staff member's calendar can't be synced".
  • Only the main calendar counts. Subscribed and secondary calendars, events marked Free, and bookings on a different booking page can still be double-booked. See Outlook events not blocking availability.
  • No per-service staff hours. Hours belong to the person, not to the person on a given service. Use the service's Custom hours or a separate service instead.
  • Leave and closures. Use Add time off on the Calendar; recording it emails the staff involved, and the FAQ offers no way to switch that off. See blocking time off.

Notifications to staff#

Staff hear about bookings through three separate switches: the per-person setting above, the recipients on each service's Notifications page, and Notify when a booking is created or changed under Booking page → Scheduling policy, which emails the Business information mailbox about every booking. Which combination you need, and how to reach a whole team, is in notifying staff about new bookings. Bookings also puts a 15-minute Outlook reminder on staff events that can't be turned off; see reminder emails.

Which staff member gets the booking#

When the customer picks "Anyone", or can't pick at all, the FAQ says Bookings assigns a free person at random, with no way to even out the load or cap it. Community reports describe alphabetical order instead. Both accounts and what we saw the page do are in round robin in Bookings; how to shape the pool is in the any-available-staff guide. Bookings has no per-staff link either; see giving each staff member their own link.

Removing staff and leavers#

Deleting someone from Microsoft 365 doesn't remove them from Bookings. The FAQ says to hover over their name on Staff, select Delete, and repeat on every booking page they were on. Before you delete a page's last Administrator, add another or set up mailbox access, or nobody will be able to open the page; recovering an orphaned page is covered in how an admin can open every calendar.
