“Can you use Microsoft Bookings with a shared mailbox?”
Asked in Microsoft Learn (opens in a new tab), Microsoft Learn (opens in a new tab) and Microsoft Learn (opens in a new tab)
Short answer
Only partly. You can add a shared mailbox as staff on a shared booking page, but Bookings changes it to the Guest role and turns calendar sync off, so appointments already in the shared mailbox's calendar don't block times. A shared mailbox also can't be the booking page's own mailbox or the address Bookings sends from, because every page gets a new mailbox of its own. What does work is pointing Send customer replies to at a shared mailbox, so replies and the "new booking" alert land in an inbox the whole team reads. That's the picture as of October 2026.
What works and what doesn't#
| Use | Works? | What happens |
|---|---|---|
| Shared mailbox as bookable staff | Partly | Becomes a Guest. It can be booked, but its calendar never blocks availability |
| Shared mailbox as Administrator or Viewer | No | Microsoft support saw the role revert to Guest, and Guests can't open the page. Scheduler wasn't part of that test |
| Shared mailbox as the page's mailbox | No | Bookings creates a separate booking mailbox for every page |
| Shared mailbox as the sender of Bookings emails | No | Emails always come from the booking mailbox's address |
| Shared mailbox in Send customer replies to | Yes | Customer replies, and the business-wide booking alert, go there |
| A personal Bookings with me page for a shared mailbox | Not documented | Nobody signs in as a shared mailbox, so there's no one to create it |
As staff: it becomes a Guest#
This is the most asked version of the question. "Microsoft bookings with shared mailbox" on Microsoft Q&A (2020) has more than 100 "same question" votes. The person asking had a licensed shared mailbox, could add it as staff and switch sync on, but "after saving the shared mailbox changed in a guest user and sync is not possible anymore".
Microsoft support confirmed it on that thread after testing: "it is a normal behavior for shared mailbox in Microsoft Bookings. Since shared mailbox is not an exact user in Microsoft 365 organization, we cannot sign in using account and password. When we add it as a viewer or administrator in Bookings, its role will be changed to guest automatically and the syncing option will also be turned off."
Nothing has changed since. A 2024 thread (8 "same question" votes) was told by a community moderator that "only User mailbox calendar availability associate with Microsoft Booking and this is a known limitation", with a link to the Feedback Portal idea "Allow resource mailboxes to share availability". A December 2024 thread describes the same thing from the other side: Events on Microsoft 365 calendar affect availability was greyed out for the shared mailbox, and the reply only redirected the question to Tech Community.
The Guest role explains the rest. The staff-roles article on Microsoft Learn says a Guest "can be assigned to bookings, but they can't open the booking mailbox". With sync off, the only availability Bookings knows for the shared mailbox is the hours you set on it and the bookings already on the page.
What to do instead#
It depends on why you wanted the shared mailbox.
| Your goal | Do this |
|---|---|
| A bookable "team" calendar that blocks times when it's busy | Use a regular user mailbox, which is what Microsoft support suggested ("create a regular mailbox and regard it as a shared mailbox"). It needs a licence that includes Exchange Online, and it must share free/busy with the organization |
| Keep the shared mailbox bookable anyway | Leave it as a Guest, untick Use business hours, set narrow hours and record absences with Add time off, as you would for external staff |
| Everyone on the team sees every booking | Add each person as a Viewer, or as a Scheduler if they also book and move appointments. See staff roles |
| Team members open the booking calendar in Outlook like a shared mailbox | Grant them Full Access and Send As on the booking mailbox, which Microsoft calls making someone a super user. Full Access adds the mailbox to their Outlook by default, and it also gives them administrator access to the page. See how an admin can open every calendar |
Microsoft documents no supported way to convert a booking mailbox into a shared mailbox or the other way round, and we haven't tested either.
As the booking page's mailbox#
Every shared booking page creates its own mailbox, and the Bookings FAQ says it appears in Microsoft Entra ID as an unlicensed user. The FAQ also says "Bookings uses shared mailboxes in Exchange to store customer, staff, service, and appointment details" and that "compliance policies for shared mailboxes in Exchange also apply for Bookings mailboxes". The FAQ's own PowerShell for listing booking pages filters on -RecipientTypeDetails SchedulingMailbox, though, so a booking mailbox isn't the SharedMailbox type and won't show up in scripts that look for shared mailboxes. Data storage and compliance are covered in where Bookings stores data, and the mailbox itself in the shared booking page chapter.
You can't attach Bookings to an existing shared mailbox such as appointments@contoso.com. Microsoft documents no option for it; selecting Create always makes a new mailbox.
As the sender#
Bookings sends every confirmation, reminder and cancellation from the booking mailbox's primary address. You can't make it send from a shared mailbox. If you want customers to see an address like appointments@, an Exchange admin changes the booking mailbox's own address in PowerShell, as described in changing the sender address. If a shared mailbox already holds that address, it has to be removed from the shared mailbox first, because Exchange doesn't let two mailboxes share one address. Changing it also changes the page link.
As the reply-to and alert inbox#
This is the use that works fully. On Business information, put the shared mailbox in Send customer replies to, which Microsoft describes as the address "where email replies to booking confirmations and reminders should be forwarded". Then turn on Booking page → Scheduling policy → Notify when a booking is created or changed; Microsoft says that email goes to "the mailbox specified on the Business information page". The team then gets every reply and every new or changed booking in the inbox it already watches. Combining this with per-staff and per-service alerts is covered in notifying staff about new bookings.
Bookings with me on a shared mailbox#
Microsoft doesn't document Personal Bookings (Bookings with me) for shared mailboxes. A personal page is set up by a signed-in user in Outlook. Exchange gives a shared mailbox's account a system-generated, unknown password, and the 2020 support answer notes that you can't sign in as one. We haven't tested it. For a page that books a team, use a shared booking page instead.
