Microsoft Bookings reporting and exports

Every report Microsoft Bookings has: the Home page, the four-month TSV export, Teams Premium appointment reports, Graph, and what you can't measure natively.

Last updated 9 sources

Microsoft Bookings has two built-in reports, both per shared booking calendar: the Home page and a TSV export of up to four months of appointments. Only staff with the Administrator role on the calendar can download the export. With Teams Premium, the Teams admin center adds usage reports for appointments held as Teams meetings. As of October 2026 there's no Bookings report in the Microsoft 365 admin center, no view across calendars, and nothing that measures visits, conversion or traffic source beyond the RefID campaign code.

The Teams reports usually lag activity by 24 to 48 hours. "Bookings with me" pages (Microsoft now calls them Personal Bookings) appear in none of these; see seeing all Bookings with me bookings.

The SMS report needs a caveat. The Teams Bookings admin article links to it for Bookings SMS, but the report's own documentation describes texts from the Virtual appointment meeting template and EHR appointments, with no mention of Bookings. We haven't verified whether Bookings texts show up there.

The TSV export#

The steps, the right way to open the file in Excel and the limits are in exporting Bookings to Excel. The reference points, as of October 2026:

  • Window. The reporting article describes a four-month view that you can move "over the course of a year". The Bookings FAQ still says "all bookings made in the past 120 days". Plan on four months per file and check the first and last dates.
  • Format. The reporting article tells you to save the file as .xls or .xlsx. Renaming doesn't convert it. The file is tab-separated text, so import it with a tab delimiter.
  • One calendar per file, with no schedule and no API trigger. Combining calendars is covered in is there a reports dashboard.

What the columns can answer:

The export has no column for when a booking was created, who created it or whether it was cancelled. Microsoft doesn't describe the values of Event Type. For lead time, see how far ahead customers book. The Excel reporting guide builds the pivots and stacks monthly files.

Teams Premium appointment analytics#

The Virtual Appointments usage report is the only Microsoft report with attendance data. Its table has one row per appointment held in Teams: start time (UTC), meeting ID, lobby wait time, duration, status, product type, maximum attendees, Department (the Bookings calendar), whether an SMS was sent, and whether a premium feature was used. It exports to CSV.

Read the definitions before you report on them:

  • No show means a staff member joined and nobody else did. If nobody joins at all, duration shows as 0, and Microsoft doesn't say which status that row gets.
  • Completed includes meetings where only participants joined, with no staff.
  • Start time is when staff and a participant were both present, or the first activity, not the booked slot.
  • Lobby wait time runs from a participant entering the lobby to anyone being admitted.

Analytics are on by default. Microsoft says using the report gives it permission to collect virtual appointment data, and an admin can turn it off under Settings in the report, with up to two hours to take effect. The licence model is in Teams meetings and virtual appointments.

Usage across the organization#

Nothing built in counts booking pages, active calendars or appointments across the tenant. Admins put that inventory together from licences, the Exchange list of SchedulingMailbox mailboxes and Microsoft Graph; the scripts are in tracking Bookings usage and adoption.

Custom reporting with Graph and Power Automate#

RouteGives youWatch out for
Graph calendarView per booking businessAppointments in a date range, including createdDateTime, staff, service and customersCounts appointments that take place in the range; listing businesses stops at 500; application permissions need admin consent
Power Automate Bookings connectorA row per new, updated or cancelled booking, captured as it happensOnly new activity; triggers are set per booking mailbox
Combined export files in Power BITrends across calendarsManual refresh of each export

The API limits are in the Graph Bookings API chapter and the connector limits in the Power Automate connector chapter.

What you can't measure natively#

QuestionNatively?Closest route
How many people viewed the booking pageNoMeasure your own page that links to or embeds it (funnel drop-off)
Conversion rate from visit to bookingNoYour analytics on your page plus export counts (GA4 conversions)
Which step people abandonNoNot visible inside the Microsoft page or its iframe (GTM and iframes, Clarity)
Traffic source or campaignOnly RefIDShort RefID codes per channel (UTM guide)
Visitors who found no free timesNoNone in Microsoft tools
No-shows for in-person servicesNoManual records; Teams appointments only through the Premium report

The page runs on a Microsoft domain, so your tags never load inside it. That is why every item in this table has to be measured from your own site.

Doing this with BookingsXP#

BookingsXP covers the traffic side for bookings made through its widget or hosted page: views, bookings, conversion rate, the step-by-step funnel, channels and visits that found no open times, without cookies. It also sends booking events to GA4, Google Ads, Meta and LinkedIn, and writes the source into the booking notes. It doesn't see bookings made on the page Microsoft hosts or added by staff, so keep the TSV export for totals. See analytics. BookingsXP is independent and not affiliated with or endorsed by Microsoft.
