Bookings with me
Bookings with me meeting types: every setting
Every Bookings with me meeting type setting in one table: duration, Teams, hours, buffers, lead time, increments, reminders and visibility, with defaults.
Last updated 8 sources
A meeting type is one bookable offer on your Bookings with me page (Personal Bookings), such as "Intro call, 30 minutes, Teams". Everything a booker experiences is set per meeting type: length, Teams or in person, which hours, buffers, how soon and how far ahead, reminders and whether the type is listed on your page. Microsoft Learn names most of these settings but gives almost no defaults or limits; this chapter collects them, with what our captures of live personal pages showed.
Where the settings are#
On the Bookings home page, the Personal booking page section shows a tile per meeting type. Select Create meeting type to add one, or select a tile to edit it. Reminders and follow-ups sit further down the form under Advanced Settings. The See More menu on a tile has the housekeeping actions: copy the link, duplicate, switch between public and private, and delete. Duplicate is the fastest way to make a second version of a type, for example the same meeting in person.
Your page starts with two published types, 15 mins meeting and 30 mins meeting. Edit or delete them before you share the link, or people will book them.
Every setting (as of October 2026)#
| Setting | What it does | Default | Limit or gotcha |
|---|---|---|---|
| Name | The title bookers pick from | "15 mins meeting" / "30 mins meeting" on the starter types | Make it distinctive. Calendar search on the name is the nearest thing to a bookings list (see all bookings). |
| Description | Text shown with the meeting type | Not documented | Use it to warn about the email code and to say what to put in the notes, since you can't add questions. |
| Color category | Applies an Outlook colour category to the bookings | Not documented | For your calendar only. One category per type makes bookings easy to spot. |
| Mode (online or offline) | Online adds a Teams meeting; offline uses a location you enter | Not documented | One mode and one location per type. Bookers can't choose (letting customers pick a location). |
| Duration | Meeting length | 15 and 30 minutes on the starter types | Microsoft doesn't document the list of allowed lengths. The invitation shows the full duration. |
| Public or private | Listed on your page, or reachable only by its own link | The starter types are listed | Private is unlisted, not restricted. Only private types offer single-use links. |
| Schedule customization | Regular hours reads your Outlook work hours; custom hours set hours per weekday for this type | Not documented | Custom hours ignore Outlook completely. Either way, Busy events still block time (availability and work hours). |
| Buffers | Time before and after the meeting | None | The before-buffer shifts every start time. The after-buffer only removes starts that would end too late (buffers and increments). |
| Minimum lead time | How soon someone can book | 1 hour in the page code when unset | A slot must start more than lead time plus 15 minutes from now. |
| Maximum lead time | How far ahead someone can book | 90 days in the page code when unset | Counted in 24-hour steps of absolute time, so the cut-off can move by an hour across a clock change. |
| Start-time increment | The step between offered starts | 30 minutes in the page code when unset | Not on Microsoft Learn. Users report a short list (30 minutes or 1 hour in a 2026 thread; 15 and 20 in 2024). No 45-minute starts. |
| Email reminders | Emails before the meeting, under Advanced Settings → Email Reminders → Add an email reminder | None | 15 minutes to two weeks before. Custom text and links allowed. Microsoft doesn't document how many you can add. |
| Email follow-ups | Emails after the meeting, for feedback or rebooking | None | Learn shows the form but documents no timing options. |
| Single-use link | A link to a private type that is valid for one booking | Not created unless you ask for one | Created from the share icon on a private tile. A 2025 Q&A report says bookers could still reschedule through one. |
| Banner image | The header image on your page | A Microsoft preset | Page-wide, chosen from preset images. No upload (banner and background images). |
Settings meeting types don't have#
These come up often enough to list. Microsoft documents none of them for personal meeting types as of October 2026:
- Custom or required questions. The form is name, email and notes. See custom questions.
- Approval before confirming. Every booking is confirmed at once (approvals).
- A daily or per-customer cap. A Feedback Portal idea for one had 26 votes (limiting bookings per day).
- Time off or blocked dates. Block the days with a Busy event in Outlook (time off and holidays).
- Group meetings, payments, SMS and recurring series. Personal pages are 1:1 only.
- Email verification on or off. There is no setting at all (email verification).
If you need any of these, the same offer built as a service on a single-staff shared booking page has the setting. Shared Bookings vs Bookings with me maps each meeting type field to its service equivalent.
Gotchas when you change a meeting type#
- Links are per type. Deleting a type breaks its link. Switching it to private takes it off your page, so people using the page link no longer see it. If someone reports a dead link, check both first (link not working).
- Existing bookings are calendar events. Microsoft doesn't document what happens to booked meetings when you change a type's duration or delete it. Check the affected events in Outlook yourself.
- Hours are per type. Changing your Outlook work hours updates only types on regular hours. Each custom-hours type has to be changed on its own, including the two starter types.
- Rename duplicates. Microsoft doesn't document which settings a duplicate copies, so check each field, and rename it before you share it so you can tell the bookings apart.
What we saw when testing (September 2026)#
We captured live Bookings with me pages in four time zones and the calls they make (91 days per capture, 30-minute types, no buffers), and reproduced every slot they showed. We also read how the page builds a booking.
- Starts are aligned to a grid from local midnight. With a 30-minute increment, starts fall on :00 and :30 only, so hours that begin at 9:15 give a first slot of 9:30. A 45-minute increment walks a 15-minute grid. A before-buffer is added to every grid point. This differs from shared pages, where starts follow the start of each free block.
- The earliest slot is later than now plus lead time plus 15 minutes. A same-day booking needs more notice than the setting suggests.
- Defaults when a type sets nothing: lead time 1 hour, booking window 90 days, increment 30 minutes. Shared pages fall back to 1 day, 365 days and 30 minutes. A personal page takes its policy only from the meeting type; there is no page-wide policy behind it.
- Only you are bookable. The page always books one hard-coded staff entry, the owner, which is why no meeting type can involve anyone else.
- The booking carries four customer fields: name, email, notes and time zone. There is no slot for question answers, a phone number or tracking data.
- Each meeting type stores more than the editor shows. Its description is saved together with a theme number, an emoji code, a privacy type and a flag named
isAuthRequired. We saw no setting for that flag, and Microsoft documents none.
