Teams meetings in Microsoft Bookings
How Microsoft Bookings adds Teams meetings, how customers join in a browser, the Bookings app in Teams, and what Teams Premium adds to virtual appointments.
Last updated 9 sources
Microsoft Bookings creates a Teams meeting for an appointment only when the service has Add online meeting turned on. Each booking then gets its own join link in the calendar event, the confirmation and every reminder. Customers join from a browser without installing Teams or having a Microsoft account. Bookings has no setting for the lobby, recording or presenters. As of October 2026, Teams Premium adds SMS reminders, a queue view, a branded waiting room and usage reports for admins. The separate Virtual Appointments app has been retired in favour of Bookings.
Online meetings on a service#
| Setting | Where | What it does | Default | Gotcha |
|---|---|---|---|---|
| Add online meeting | Service → Basic details | Adds a unique Teams (or Skype) link and dial-in to each appointment | Microsoft doesn't document it | Per service, so customers can't choose online or in person on one service (choose location) |
| Meeting client | Each staff member's default | Teams or Skype, whichever the booked staff member uses | Not documented | Microsoft still lists Skype as an option and recommends Teams as the tenant default |
| Location | Service → Basic details | Text shown in emails and the calendar event | Not documented | Not a meeting provider; Zoom and others go here as text (Zoom) |
| Customer email | Service → custom fields | Delivers the confirmation that carries the link | Required on new services | Make it optional and some customers never get the link |
| Send a meeting invite to the customer, in addition to the confirmation email | Service → Notifications | Sends a calendar invite as well | Microsoft doesn't document it | One poster tied it to the two-different-links problem (link missing) |
The Teams admin documentation adds a prerequisite that trips people up: every staff member in the meeting needs a licence "that supports Teams meeting scheduling". When only some bookings arrive without a link, check the licence of the person they were assigned to. Microsoft says business-level changes such as sending meeting invites can take up to 10 minutes to apply.
"Bookings with me" meeting types (Microsoft now calls them Personal Bookings) have their own online/offline switch per meeting type. Microsoft describes the Premium features below for Bookings in general and doesn't say which of them work on personal pages. See Bookings with me meeting types.
Lobby, recording and who organizes the meeting#
Bookings sets none of the meeting options. The one thing Microsoft recommends for Bookings is a Teams meeting policy that automatically admits People in my organization, assigned to staff, so staff go straight in and external customers wait in the lobby. Who counts as organizer of a meeting Bookings creates isn't documented, and Microsoft Q&A answers from 2022 and 2025 disagree on whether staff can change options afterwards. The details, and a test to run before you rely on a policy, are in Teams meeting options for Bookings.
What external attendees experience#
Microsoft calls this "browser join", and it is on for Bookings with no setup. The customer opens the link, Teams opens in the browser rather than prompting a download, and they select Join now. Even if Teams is installed, the link opens in the browser. Phone dial-in is in the invite too.
| Area | As of October 2026 |
|---|---|
| Supported browsers | Chrome on Android, iOS, macOS, Windows and Linux; Safari on iOS and macOS; Edge on Windows. Latest version plus two previous |
| Screen sharing | Attendees can share from a desktop browser, not from a mobile browser |
| Audio devices | Safari on iOS can't pick a Bluetooth or other device; the operating system chooses |
| Live captions | Staff turn them on; each attendee can then show them. Not translated |
| Not supported in browser join | Explicit recording consent, Whiteboard, PowerPoint Live |
| Teams Premium protection | Sensitivity labels, watermarks and end-to-end encryption block browser join: the customer is told to download Teams |
| Branded waiting room | Teams Premium meeting theme; a browser shows only the logo, not the custom image |
The last two rows explain most "my customer was told to install Teams" reports. If your organization applies a sensitivity label or watermark to every meeting, Bookings appointments get it too. Under the recommended lobby policy, anyone outside your organization waits in the lobby, including external staff added as guests (external staff).
The Bookings app in Teams#
The Bookings FAQ calls it "a lightweight version" of the web app: day-to-day calendar, staff and appointment work without leaving Teams, with links out to the web app for the rest. Users add it from Apps by searching for Bookings and can pin it. An admin can pin it for selected users with a Teams app setup policy. Access itself is still controlled by the Bookings licence and the tenant and mailbox-policy switches described in Admin controls.
Two limits matter. The app isn't supported in GCC, GCC High, DoD or sovereign clouds. Bookings is also available as an app in Outlook, so a missing Teams app isn't the same as a missing Bookings licence. Entry points and sign-in are compared in Where to use Bookings.
Virtual appointments and Teams Premium#
Microsoft Learn now says the Virtual Appointments app in Teams "is no longer available" and points its users to Bookings with a Teams Premium licence. "Virtual appointments" now means Bookings appointments held as Teams meetings, plus the Teams EHR connector for healthcare. There's also a separate Virtual appointment meeting template in Teams for meetings with external guests, which isn't tied to Bookings.
| Capability | Bookings with a Teams licence | With Teams Premium | Notes |
|---|---|---|---|
| Teams link per appointment, browser join, email reminders | Yes | Yes | |
| Join links in your own app (virtual appointment Graph API) | Yes | Yes | Developer API, waiting room and browser join included |
| SMS confirmations and reminders | No | Yes | Customer must opt in. Countries differ between Microsoft pages (SMS) |
| Queue view of scheduled appointments | No | Yes | Live status for schedulers and supervisors |
| Branded waiting room | No | Yes | Admin creates a meeting theme in a customization policy and assigns it to schedulers |
| Virtual Appointments usage report | No | Yes | Also with a Teams EHR connector licence; see Reporting |
| Advanced Virtual Appointments activity report | No | Yes | Per-user SMS, queue and on-demand use |
How the licence applies is uneven. The Teams Premium licensing page treats SMS as an organizer-level feature, the queue view as a user-level feature for "any user … who wants access to pre and post-appointment actions", and the reports as admin-level. Plan Premium for the staff who get booked and for the people who watch the queue. A tenant needs at least one active Premium licence before admins can manage any of it.
Two things don't line up as of October 2026:
- SMS countries. The Teams Bookings admin article lists Canada, the UK and the US; the Teams Premium licensing page adds Australia and the Netherlands; the Bookings service article still says North America.
- On-demand appointments. The activity report still counts on-demand joins "on the Queue tab in the Virtual Appointments app", which no longer exists. Microsoft doesn't document on-demand appointments in Bookings itself.
Microsoft also moved some Premium features into Teams Enterprise from 1 April 2026. Its comparison table still lists SMS and the queue as Premium-only, so check your own licences before you buy for Bookings alone.
Troubleshooting#
| Symptom | Likely cause | Where to go |
|---|---|---|
| No Teams link in the confirmation | Add online meeting off, staff licence, or no customer email | Teams link missing |
| Staff and customer in two different meetings | Known duplicate-link issue, no documented fix | Teams link missing |
| Staff wait in their own lobby | No lobby bypass policy for staff | Meeting options |
| Customer told to download Teams | Sensitivity label, watermark or encryption on the meeting | The browser join table above |
| Can't preset recording or presenters | Not a Bookings setting | Meeting options |
| No SMS sent | No Teams Premium licence, no customer opt-in, or an unsupported country | SMS reminders |
| Want new bookings posted in a Teams channel | Bookings only sends email | Teams channel alerts |
| Want no-show rates | Microsoft documents no Bookings no-show report; the Premium usage report marks Teams appointments as No show | Reporting, reducing no-shows |
