Why did all my staff disappear from Microsoft Bookings?

Short answer
If every staff member and every appointment vanishes from the Bookings web app at the same time, the data usually hasn't been deleted. Bookings has stopped showing it. The most-followed thread on this (July 2024, 16 "same question" votes, 17 replies) describes exactly that. Staff and calendar entries disappeared for many organizations between 12 and 14 July, re-adding staff didn't work, the public booking page kept taking bookings, and everything came back on 16 July without anyone changing anything. Confirm it's an incident, keep the public page running, and don't rebuild.
First checks#
- Check service health. A Microsoft 365 admin can go to Health → Service health in the admin center and look under Active issues Microsoft is working on. If nothing is listed but you're affected, use Report an issue on the same page. Why a Bookings page is stuck loading covers what to do when you can't reach the admin center.
- Test the public page. Open your booking link in a private window and make a test booking. In July 2024, people reported the booking page "seems to still work fine" and new bookings still reached the Exchange calendar. Only the admin view was empty. If yours works the same way, customers aren't affected, and you have time.
- Try another way in. Open Bookings on the web at book.ms and also in Teams. In 2024 most people saw the problem in every client, but one reported the web app worked while the Teams app didn't.
- Check you're on the right page. If you manage several shared booking pages, use the caret next to the business name to confirm you haven't switched to a new, empty one. If a whole page is missing rather than its staff, see finding a Bookings page you created.
- Ask another Administrator. If a colleague with the Administrator role sees everything, the problem is your access, not the data.
What not to do#
- Don't re-add everyone or recreate the page. In 2024, one person copied their booking page and tried to add staff to the copy, and it failed. Another re-added a staff member and reassigned a service, and "nothing seemed to change". Once the original data came back, anything added in the meantime would have needed cleaning up.
- Don't delete the booking mailbox to start again. Microsoft says a deleted shared booking page and its staff, services and bookings "can't be recovered".
- Don't tell customers their bookings are lost until you've checked the booking mailbox calendar or the staff Outlook calendars. In 2024 the appointments were still there.
If only some staff are missing#
A partial loss is usually a change someone made, not an incident.
- One person gone from the Staff list. Removing someone from Microsoft 365 doesn't remove them from Bookings. The FAQ says you have to delete leavers from every page by hand. If one person has disappeared, the likeliest explanation is that someone with the Administrator role deleted them.
- Staff visible to you but not to customers. Check whether the page still allows customers to choose a staff member, and whether a tenant admin turned on Block sharing staff details with customers under Settings → Org settings → Bookings. If staff are listed but never offered, work through why staff aren't bookable.
- You can open the page but see little. Your role may have changed. Viewers see every booking, but Team members work with their own calendar. See what each role can do.
Be ready for next time#
Bookings has no recycle bin or version history for staff and services, so keep your own record:
- Export bookings regularly. Staff with the Administrator role can download a TSV file of bookings from the home page. The FAQ says it covers the past 120 days. See exporting Bookings to Excel.
- Keep a staff and service list. Screenshot the Staff and Services pages, or pull them with Microsoft Graph (
GET /solutions/bookingBusinesses/{id}/staffMembersand/services, with a Bookings read permission). If you ever have to rebuild, you'll have the details. - Have two Administrators on every page, so one person's access problem doesn't lock everyone out.
If the admin view is still empty after a day and Service health shows nothing, open a support request from the admin center. Include the booking page's mailbox address and the time it started.
