Shared Bookings
Services in Microsoft Bookings: every setting
Every Microsoft Bookings service setting in one place: duration, buffers, price, Teams, capacity, staff, questions, reminders, policy overrides, publishing.
Last updated 6 sources
A service is the thing customers book, and it decides almost everything about the appointment: how long it lasts, where it happens, whether it gets a Teams link, what price is shown, how many customers can join, which staff deliver it, which questions are asked and which emails go out. Customers can't change any of that. They pick a service, then a time, so every variation you want to offer (30 or 60 minutes, Teams or in person, a named adviser) is a separate service. This chapter lists every setting in the service editor as of October 2026, with defaults and what breaks.
Services are per booking page. Open the page, select Services, then Add new service or an existing service. The service-types article on Microsoft Learn says you need the Administrator staff role to create one, and the services article says to keep a page to 50 services. Changes to business-related settings can take up to 10 minutes to reach the public page.
Basic details#
| Setting | What it does | Default | Limit or gotcha |
|---|---|---|---|
| Service name | The tile and drop-down entry customers pick; also shown when staff add a booking by hand | None | Customers choose by name, so put the variant in it ("Consultation, 60 min, Teams") |
| Description | Shown when the customer selects the information icon | Empty | Plain text on the public page |
| Location | Shown in staff and customer confirmations and reminders, and on the calendar event | Empty | One per service. Customers can't choose; see letting customers pick Teams, phone or in person |
| Add online meeting | Creates a unique Teams link per appointment, added to both calendar events and every confirmation and reminder | Off (the Graph default) | The booked staff member needs a licence with Teams meetings, and the customer needs an email address. See Teams link missing. Bookings can't set lobby or recording options; see Teams meeting options |
| Duration | The length of every appointment for this service | Set when you create it | One duration per service. The whole time is blocked on the staff calendar |
| Buffer time (Before, After) | Extra time blocked on the staff calendar around each booking | Off | Customers don't see it, but a slot needs room for duration plus both buffers. The staff's Outlook event includes the buffer. See buffer time |
| Price | What the page shows about cost | Price not set, which hides any mention of price | Bookings takes no payments; see payments |
| Notes | Internal text on the staff event and in the Bookings Calendar | Empty | Not shown to customers |
| Maximum attendees per event | Above 1, several customers can book the same staff member at the same time (a 1:N group service) | 1 | Can't be changed after the service is created. Editing a group service in the Teams or mobile app resets it to 1. See group bookings |
| Language | The language this service uses, overriding the page language | The page language | See page language |
The price options aren't listed on Microsoft Learn's services page. The Microsoft Graph service resource lists them: not set, free, fixed price, starting at, hourly, price varies and call us. The currency is a page-level setting, not a service one.
What we saw when testing (September 2026)#
Two service settings behave differently from what the editor suggests. A Before buffer moves the first start time: in the public page code, the first slot in a free block is the block start plus the pre-buffer, so a 10-minute pre-buffer on a block that opens at 9:00 gives a first slot of 9:10. And for multi-staff services, the service data the page reads carries a flag that makes the page send the whole group of assigned staff with the booking instead of picking one person. Why Bookings shows odd start times has the full slot rules.
Availability options#
| Setting | What it does | Default | Limit or gotcha |
|---|---|---|---|
| Default scheduling policy | Uses the page-wide lead time, maximum days in advance and time increments | On | Turn it off to give this service its own values |
| Bookable when staff are free | Offered whenever an assigned staff member is free | Microsoft doesn't document it | The usual choice |
| Not bookable | Customers can't book it online | — | Staff can still book it from the Calendar |
| Custom hours | A weekly schedule for this service only | — | Still limited by business hours and staff hours |
| Add a different date range | Gives a date range its own availability, overriding the general setting | None | You can add several. This is how you open a service on chosen dates only; see offering specific dates |
When you switch Default scheduling policy off, check every field on the service, not only the one you meant to change. In our captures, a service with its own policy is read entirely from that policy, and anything missing falls back to the page code's built-in values (1 day lead time, 365 days in advance, 30-minute increments) rather than to the page settings. How the page-wide policy works is in the scheduling policy chapter, and how hours, calendars and time off combine is in how availability is calculated.
Assign staff#
| Setting | What it does | Default | Limit or gotcha |
|---|---|---|---|
| Select staff | The people who can deliver this service | Microsoft doesn't document it | In the service data our captures read, an empty list means every staff member on the page. Check this list on every new service; see running a page without being bookable |
| Assign any of your selected staff for an appointment | Each booking goes to one person | Microsoft doesn't document it | When the customer picks "Anyone", the FAQ says a free person is chosen at random. There's no rotation; see round robin |
| Multiple staff | Each booking includes every assigned person, and is only offered when all of them are free (N:1) | — | No "A plus B or C" combinations. See several staff in one appointment |
| Allow customers to choose a particular staff for booking | Shows a staff picker, always with "Anyone" | Microsoft doesn't document it | "Anyone" can't be removed while the picker shows. See removing the Anyone option. The FAQ says the same choice can be made page-wide under Booking page |
The two Microsoft Learn articles name the multi-staff mode differently. The services article calls it Multiple staff and an N:1 service. The service-types article calls the same radio button Assign all of your selected staff for an appointment, and describes combining it with Maximum number of attendees above 1 to make an N:N service, several staff with several customers. Test that combination on a non-public service before you rely on it.
Custom fields#
Customer email, phone number, address and notes are built in. The services article says they are "non-removable" and can only be made optional by clearing Required; the custom questions article shows them deselected. Your own questions come from one list shared by every service on the page, so deleting a question removes it everywhere. Customer email is required by default, and the FAQ explains that without it the customer gets no confirmation or Teams link. In our captures the public page offers only free-text and single-choice questions, and caps notes at 3,000 characters. Setup is in required custom questions, what to ask is in the custom questions guide, and the full reference is the custom questions chapter.
Our captures also show a separate requirement level for guest email addresses on each service, and the public page offers a field for extra guests when it isn't hidden. Microsoft doesn't document where that's set, and we haven't checked the editor for it.
Notifications#
| Setting | What it does | Default | Limit or gotcha |
|---|---|---|---|
| Email confirmation | Sent when a booking is created or changed, to customers, staff or both | Microsoft doesn't document it | If staff aren't recipients here, they get the calendar event but no email |
| Email reminders | Sent a set time before the appointment | Microsoft doesn't document it | Several per service. Q&A reports say bookings made before an edit keep the old wording; see reminder emails |
| Email follow-up | Sent a set time after the appointment | Microsoft doesn't document it | Several per service |
| Additional information for Email Confirmation | Your text appended to the confirmation | Empty | The place for preparation notes, cancellation terms and links |
| Send a meeting invite to the customer, in addition to the confirmation email | Adds a calendar invite for the customer | Microsoft doesn't document it | The FAQ's mitigation for one group attendee's cancellation emailing everyone is to clear it |
| Enable text message notifications for your customer | SMS to customers who opt in | Off (the Graph default) | Needs Teams Premium. Microsoft lists the supported countries inconsistently; see SMS reminders |
Staff-side email settings live on the Staff page too, and the page-wide Notify when a booking is created or changed sends every booking to the Business information mailbox. The three switches are untangled in notifying staff, and the notifications chapter covers email and SMS as a whole.
Publishing and links#
Publishing options decides whether the service appears on the public page (On) or can only be booked by staff from the Calendar (Off). Off isn't an unlisted service: the public page leaves it out completely. Every published service has its own link under Service booking page, which opens the page on that service. See linking to one service.
Whether customers can reschedule or cancel is controlled by Let customers manage their appointment when it was booked by you or your staff on their behalf, but that only covers bookings staff create; customers who booked themselves keep Manage booking. See stopping customers rescheduling.
Microsoft doesn't document labels or categories for services on Learn or in the Graph v1.0 service resource. Our captures show a category-names field in the service data, but we haven't seen what sets it or where it appears.
One service per variant#
Because customers can only choose a service, a time and sometimes a person, most "can customers choose…?" questions end in the same answer.
| Customers need to choose | Build | Watch for |
|---|---|---|
| Length (30 or 60 minutes) | One service per duration | The 50-service guidance |
| Teams, phone or in person | One service per mode, each with its own location and online-meeting setting | Clear names |
| A named person, with no "Anyone" | One service per person, with only that person assigned | Staff changes mean service changes |
| A class, not a one-to-one | A new service with Maximum attendees per event above 1 | Can't be converted later |
| Certain days only | Custom hours or date ranges on that service | Business hours still apply |
| A different price or intake form | One service per variant, with its own questions | Questions are shared across the page |
Group capacity and attendee management are covered in the group services chapter.
