Teams meeting options for Microsoft Bookings appointments

What Bookings controls#

• Online meeting on or off, per service. With it on, each appointment gets its own Teams join link. The Bookings FAQ and service guide say the link goes into the confirmation and reminder emails and the calendar event. If it's missing, see Teams link missing.
• Nothing else about the meeting. Microsoft Q&A answers from 2022 and 2025 both say there's no way to preset options such as automatic recording or closed chat for Bookings meetings.

Route 1: Teams meeting policies (defaults for everyone)#

Many Teams meeting options have defaults that a Teams admin sets in a meeting policy. This is the only way to shape Bookings meetings in advance.

• Lobby. Microsoft recommends this for Bookings in the Bookings app admin guide: create a Teams meeting policy that automatically admits People in my organization and assign it to your staff. Staff then join directly and external customers wait in the lobby. The Teams lobby documentation calls these per-organizer policies that "set a default that your organizers can change" in Meeting options.
• Recording. The auto-recording policy only decides whether organizers see the Record and transcribe automatically option. Microsoft says the option is Off by default when the policy is on, and organizers "must manually enable" it for each meeting. So a policy alone can't make every Bookings appointment record itself.
• Meeting templates can lock settings, but Microsoft says only organizers with a Teams Premium licence can use assigned templates. It doesn't document a way to choose a template for Bookings appointments.

The catch: who is the organizer? Policies apply to the meeting organizer, and Microsoft doesn't document who organizes a meeting that Bookings creates. In a 2022 Microsoft Q&A thread (10+ "same question" votes), the organizer showed as the booking calendar mailbox, and staff who were Bookings administrators got "Only meeting organisers can make changes". Microsoft still recommends assigning the policy to staff. Before you rely on a policy, book a test appointment, join as the customer from a private browser window, and check that the lobby behaves as expected.

Route 2: change options on each appointment#

A Microsoft Q&A moderator answered in January 2025: open the appointment in the Teams calendar, select Meeting options, and change who can bypass the lobby, who can present and automatic recording. The answer added that "meeting settings can be modified by the staff assigned to the booking meeting". This contradicts the 2022 report above, and Microsoft hasn't published anything that settles it. Try it on one booking.

Even when it works, it's manual, one appointment at a time. Customers who book on short notice can arrive before anyone has changed the options.

What Teams Premium adds (and doesn't)#

Microsoft lists these advanced Bookings features in Teams Premium: a queue view of appointments, SMS text notifications and usage reports for admins. Premium also adds meeting themes (branding for the invite, pre-join screen and lobby). It also adds sensitivity labels that can control lobby, chat, presenting and recording settings "normally controlled by the organizer". Microsoft doesn't document applying labels or templates to Bookings appointments. None of these adds meeting options to a Bookings service, as of September 2026. If you need full control#

For webinars, trainings or sessions that must be recorded or have locked-down presenters, the moderator in the 2022 thread suggested scheduling the meeting in Teams directly, where the organizer owns every option. The people in the 2022 thread wanted Bookings for sign-ups and caps, and in the end ran their sessions without those meeting features.
