The question people ask
“Can one Bookings appointment include several staff members (and several guests)?”

Short answer

Yes for staff, not really for guests. A service can be set to Multiple staff on its Assign staff page, and every booking for it is then made with all the staff assigned to that service, in one appointment. Microsoft calls this an N:1 service, and it's only offered at times when every one of those people is free. On the customer side, one booking still means one customer with one email address, as of September 2026. Extra guests have to be passed the meeting link or added some other way.

Set up a service that books several staff#

  1. Open your shared booking page, go to Services and create or edit the service.
  2. Set the name, duration and location on Basic details. Turn on Add online meeting if it runs in Teams. Microsoft says the unique meeting link goes on both the staff and customer calendar events and in every confirmation and reminder email.
  3. Open Assign staff and select Multiple staff. Microsoft Q&A moderators call this "Assign all selected staff"; the documentation calls it Multiple staff.
  4. Select each person who must attend.
  5. Untick Allow customers to choose a particular staff for booking, because customers aren't choosing between these people.
  6. Save the service, then check the public page. If no times appear, one of the assigned people probably has no free time in the window. See why a staff member isn't bookable.

The alternative on the same page, Assign any of your selected staff for an appointment, books a single person. That's what you want for "whoever is free", not for "everyone together".

Two forum answers that point the wrong way#

  • In a May 2026 thread asking for several staff and several guests in one meeting, the moderator reply suggests selecting all the staff and unticking the choose-staff option, after which "Bookings will assign the meeting to the available staff". That describes the default single-person mode. Without Multiple staff, you get one of them, not all.
  • A 2025 thread (10 "same question" votes) from two colleagues who run meetings together is told to "set the number of attendees required" as well. That field, Maximum attendees per event, is for group classes, and Microsoft Q&A answers report that it can't be changed after the service is created. Leave it at 1 for a joint meeting with one customer.

Flexible combinations aren't supported#

A common request is "A must always attend, plus B or C, whoever is free". The accepted answer on Microsoft Q&A (August 2025) says Bookings can't do this. The workaround is one service per combination (A + B + C, A + B, A + C), each set to Multiple staff. Customers then have to pick the right service, and Microsoft suggests keeping a page to 50 services or fewer, so this doesn't scale far. If you only need one available person rather than a team, that's the Anyone assignment instead.

Several guests in one booking#

Bookings has two customer models, and neither is "one customer brings colleagues":

  • One-to-one and Multiple staff services take one customer. The email field accepts one address; a Microsoft Q&A moderator confirmed in May 2026 that typing several isn't supported and "cannot be changed".
  • Group services (Maximum attendees per event above 1) let several customers each book the same slot separately, like seats in a class. Each books on their own. See group bookings.

Workable options for extra guests:

  • The customer forwards the Teams link from their confirmation email to the others.
  • The customer enters a group or distribution-list address as their email, so everyone on it gets the confirmation. That was the moderator suggestion in the same thread; the customer record then holds the group address, not a person.
  • Add a custom question such as "Other attendees' emails" so staff can invite them. Bookings won't send anything to those addresses; someone has to do it by hand.

Microsoft doesn't document combining Multiple staff with Maximum attendees per event above 1 in one service. Test it before offering a multi-host class.

What we saw when testing (September 2026)#

In our captures of the public booking page, service data carries a flag that marks a service as multi-staff. When it's set, the page code sends the whole group of assigned staff with the booking instead of picking one person. We didn't have such a service on a test page, so we couldn't confirm the result end to end.
