Workspace defaults

Set brand, tracking, privacy and indexing once for every BookingsXP widget, and override a section for one widget when it needs to differ.

Most companies use the same brand, the same GA4 property and the same privacy settings on every booking page. Workspace defaults (Dashboard → Workspace defaults) holds those settings once. Every widget follows them until you override a section in that widget's editor.

What follows the workspace#

Settings are grouped. A widget either follows a whole group or keeps its own values for that group.

GroupSettings
Brand & styleAccent colour, light/dark mode, font, corner radius, density, button style, background, header and logo
Time & language12/24-hour clock, first day of the week, date language, time-zone picker
Form & confirmationButton text, consent checkbox, confirmation title and message, "Add to calendar" and "Manage booking" links
Tracking & conversionsThe tracking on/off switch, GTM dataLayer events, GA4 ID, Google Ads, Meta and LinkedIn conversions, source summary in the booking notes, enhanced conversions
Data & privacyStore bookings in BookingsXP, first-party funnel analytics
Allowed websitesWhich sites may embed your widgets
Search indexingWhether hosted booking pages may appear on Google and Bing

These are always set per widget: the Bookings link, template, services and staff, phone and notes fields, headline, help text under questions, the daily booking limit, the thank-you page, the hosted page address and whether the widget is live. The workspace also has a default template that new widgets start with.

Following and overriding#

  • New widgets follow every group.
  • In a widget's editor, each group has a Use workspace default switch. While it is on, the fields show the workspace values and can't be edited there.
  • Switch it off to give that widget its own values. They start as a copy of the workspace values, so nothing changes until you edit and save.
  • Switch it back on to drop the widget's own values for that group.
  • On the Workspace defaults page, Make all follow puts every widget back on the workspace values for a group.

Changes to the defaults go live on every widget that follows them, with no need to re-paste any embed code. Widgets made before workspace defaults existed keep their own values until you switch a group on.

The tracking switch#

Track bookings and send conversions turns all marketing output off at once. While it is off, the widget sends no dataLayer, GA4, Google Ads, Meta or LinkedIn events, no hashed email, and no source summary into the Microsoft booking notes. Your IDs are kept for when you turn it back on. Thank-you page redirects and your own JavaScript callbacks still work, and each booking still carries its BookingsXP reference in the Microsoft Bookings tracking data.

Funnel analytics#

Record funnel analytics controls the anonymous, cookieless view and step events behind the Analytics page. Turned off, BookingsXP only counts completed bookings, without source, page or device, so totals and the daily booking limit keep working. See privacy and data for what is stored.

Plans#

Workspace defaults are on every plan. Settings that need a paid plan, such as ad conversions, storing bookings or advanced styling, need that plan whether they are set on the workspace or on a widget.
