Microsoft Bookings vs Google Calendar appointment schedules
Last updated 6 min readPart of Microsoft Bookings: what it is and how it works16 sources
Use Google Calendar appointment schedules if your people work in Google Workspace or personal Google accounts, you want a booking page for each person (with co-hosts on the bigger plans), and you'd like to take a Stripe payment at booking. Use Microsoft Bookings if your calendars are in Microsoft 365, you need one page for a team with services and staff, and you want Teams links on every appointment.
In practice the choice follows the calendar your staff already use. As of October 2026, neither tool documents reading the other's calendars: Bookings checks only Microsoft 365 calendars in your tenant, and Google Calendar appointment schedules check Google calendars. For an organization split across both, that matters more than any feature on the list below.

Calendars and availability#
This is the deciding row. Bookings checks free/busy on each staff member's Microsoft 365 calendar when Events on Microsoft 365 calendar affect availability is on. The add-staff article on Microsoft Learn says "staff from outside your tenant will not be able to share free/busy information with Bookings", and on a Microsoft Q&A thread about Google Calendar with 90+ "same question" votes, the top answer says there is "no option to sync up with google calendar". Can Bookings check Google Calendar availability covers the workarounds, which all copy Google events into the Microsoft 365 calendar.
Google Calendar appointment schedules check "your primary calendar and any calendars that you own, manage, or are subscribed to". Checking secondary calendars needs an eligible Google Workspace or Google One plan. Google doesn't mention Outlook or Microsoft 365 calendars. If you subscribe to a published Outlook calendar by URL in Google Calendar, it may count as a subscribed calendar, but Google doesn't say so and we haven't verified that its events block slots or how quickly changes arrive.
So for staff who live in Outlook, Bookings is the only one of the two that sees their real availability. For staff in Google Calendar, it's the reverse. If you need one page over both, a third-party scheduler that connects both kinds of calendar is the practical answer (Microsoft Bookings vs Calendly).
Team scheduling: staff versus co-hosts#
A shared Bookings page is built for a team: services with their own duration, buffers, staff and questions, group services with a maximum attendee count, and Multiple staff services that book everyone assigned. When a customer picks "Anyone", the FAQ says staff are "assigned randomly", with no equal distribution or caps (round robin).
Google Calendar starts from one person's calendar. Since August 2025, Google has also generated a ready-made booking page from your working hours for people who don't have one. On Business Standard and above, Education and Nonprofits you can add up to 20 co-hosts, including Google Groups, and they have to be in your own domain. The Google setup page warns that "by default, appointment schedules do not check co-host availability", so you have to add each co-host's calendar to the availability check yourself. Google doesn't describe how bookings are spread between co-hosts, and we haven't tested it.
Booking form, reminders and verification#
The Google booking form always asks for first name, last name and email, and you can add more fields. Require email verification sends a code to bookers who aren't signed in to a Google Account. Reminders go out on eligible plans, up to five per booking, with fixed text. Maximum bookings per day caps your load, which Bookings has no setting for (limiting bookings per day).
Bookings gives each service custom questions, several reminders and follow-ups with your own text, and a consent checkbox. Shared pages make the email code optional. Bookings with me always asks for it (email verification).
What we saw when testing (September 2026)#
Defaults differ more than the settings pages suggest. Google documents a 4-hour minimum lead time by default. When we captured the public booking pages Microsoft hosts, shared pages used a 1-day lead time and a 365-day window when nothing was set, and personal pages used 1 hour and 90 days. Shared-page slots also weren't aligned to the clock: a free block starting at 6:40 produced 6:40, 7:10 and so on (odd start times). Check both settings before you publish either page.
Embedding and meetings#
The Google sharing options offer an embed in two forms, with no plan restriction mentioned: an inline booking page with editable width and height, or a button that opens a pop-up. Bookings embeds only shared pages, as a plain iframe (embed code), and Bookings with me has no embed code.
For video, Google offers Google Meet, in person, phone, or "None / to be specified later". To use another service, Google says to edit the event after someone books and add the link. Bookings creates a unique Teams link for each online appointment and puts it in the confirmation and reminders.
Payments#
Google collects payment through Stripe on Workspace Individual, Business Standard and above, Education and Nonprofits, and not on Google One or Google AI plans. For Workspace admins, the setting "is turned off by default for all available editions except for Business Standard." The Bookings FAQ says "there's no payment support in Bookings" (payments).
Pricing#
Neither is sold separately. Bookings comes with the Microsoft 365 and Office 365 plans Microsoft lists (licence requirements). Appointment schedules come with Google accounts, and the paid features follow the plan columns above. Google prices Workspace by country. The Workspace pricing page we were served on October 20, 2026 listed "Appointment booking pages" from its Standard tier, and used plan names that differ from those on the Calendar Help comparison, so check both pages for your country before you buy.
When to keep Microsoft Bookings#
- Your staff calendars are in Microsoft 365 and Bookings needs to see them.
- You run a team page with services, several staff, group sessions or Multiple staff meetings.
- Appointments run on Teams.
- You need to limit a page to people signed in to your organization.
When to use Google Calendar appointment schedules#
- Your organization, or the person taking bookings, works in Google Calendar.
- One person's booking page, with optional co-hosts, is enough.
- You want a Stripe payment, a daily booking cap or a pop-up button embed.
- Meetings run on Google Meet.
