Microsoft Bookings vs Zoho Bookings (2026) compared

Choose Zoho Bookings if you want round robin, routing forms, a custom domain, custom CSS and payments for a low per-user price, or you already use Zoho One (which includes the Premium plan). Keep Microsoft Bookings if your staff live in Outlook and Teams, you want booking data kept in Exchange Online with no extra processor, and your appointments don't need routing or payment.

Zoho Bookings is part of Zoho's wider suite, much as Bookings is part of Microsoft 365. Both connect to Outlook calendars and Teams. The practical differences are in customisation, staff assignment and what you pay for.

Scheduling and routing#

Bookings assigns staff in one of two ways: the customer picks a person, or picks "Anyone". In the second case Microsoft's FAQ says staff are "assigned randomly", with no equal distribution and no per-person cap. Community reports on Microsoft Q&A describe alphabetical-first assignment, so the two don't agree. Staff can't have individual time zones, and appointments can only be edited in the Bookings web portal. Round robin in Microsoft Bookings covers the workarounds.

Zoho puts round robin on Basic and Premium, with four algorithms named on its pricing page: load-balancing, priority-based, round-robin and default. Routing Forms are Premium only. Premium also adds custom workflows through a script builder.

Embedding and branding#

Bookings' documented embed is an iframe from the Booking page tab of a shared booking page. You can set colours and a logo. A vanity domain isn't documented: Microsoft's custom-domain setting only changes the mailbox domain used in new booking page addresses, as explained in using your own domain.

Zoho offers "Inline Embed", "Embed as Button" and "Embed as Link", the last two as pop-ups, "available on all plans". Premium adds a custom domain, custom CSS and white labeling ("Remove Zoho Bookings branding"). An official React package is not stated on their site.

Tracking and analytics#

Bookings' native attribution is the RefID URL parameter plus a TSV activity report. Microsoft gives two windows for that report: four months in one article, 120 days in the FAQ. No GA4, Google Ads or Meta integration is documented, and there's no thank-you redirect after booking.

Zoho's pricing page lists Google Analytics on Premium ("Track booking progress, conversions, or user drop-offs"). However, the Google Analytics tile on Zoho's integrations page links to a Zapier GA4 recipe rather than a native help article, so it's worth asking Zoho how it works. Meta Pixel and Google Ads are not stated on their site.

Integrations and webhooks#

Microsoft has no Bookings webhooks. The Graph API covers shared bookings only, and application permissions need tenant admin consent. The Power Automate connector is in preview, only Bookings admins can use its triggers, and there's a limit of five flows per Bookings mailbox.

Zoho's API uses OAuth 2.0 and is on all plans with daily call limits per user: Free 250, Basic 1,000, Premium 3,000 (Zoho One also 3,000). Basic and Premium include Zapier and Zoho Flow. A plan-specific webhook feature is not stated on the pages we read.

For Microsoft 365, Zoho supports Office 365 and Outlook.com calendar sync on all plans. The number of calendars you can connect depends on the plan, and "appointments can only be added to one calendar". Teams integration is on all plans, but Zoho says it "requires that you have a Microsoft 365/Office 365 Business account". "Super admins and admins can set up the integration", and users approve permissions during Microsoft sign-in.

Payments#

Microsoft's FAQ: "No, there's no payment support in Bookings." Zoho lists payment providers ("Charge for your appointments") on Premium. For the native Bookings situation, see can Bookings take payments.

Data and compliance#

Microsoft stores Bookings data in Microsoft 365 and Exchange Online shared mailboxes, where compliance policies for shared mailboxes apply. Bookings is cloud-only, and a required consent checkbox records the time of consent. Where Bookings stores data has the detail.

Zoho runs region-specific Bookings domains and APIs in the US, EU (bookings.zoho.eu), India, Australia, China, Japan, Saudi Arabia and Canada. Its pricing FAQ answers "Is Zoho Bookings GDPR compliant? Yes". HIPAA is not stated on their site.

Pricing#

Bookings is included in listed plans: Office 365 A3, A5, E1, E3, E5, F1, F3, G1, G3, G5, and Microsoft 365 A3, A5, E1, E3, E5, F1, F3, Business Basic, Business Standard, Business Premium, Teams Essentials and Teams Premium. It isn't sold standalone. Check Microsoft's site for current plan prices.

The free plan includes "Online meetings", notification emails and reminders, and two-way calendar sync with Zoho, Google and Microsoft 365/Outlook.com. Zoho One customers get the Premium plan.

When to keep Microsoft Bookings#

• Staff already work in Outlook and Teams, and you want bookings to be ordinary Exchange appointments.
• You don't want another vendor or data region to review.
• Choosing a staff member, or random assignment, is fine for your volume.
• You don't charge at booking.

When to switch#

• You need round robin with a choice of algorithms, or routing forms.
• A custom domain, custom CSS or white labeling is a requirement.
• Payments or SMS workflows at booking matter.
• You already pay for Zoho One and would rather use its included Premium plan.

Keeping Bookings and filling the gaps with BookingsXP#
