“How do I make a QR code for my Microsoft Bookings or Bookings with me page?”
Short answer
Microsoft doesn't make one for you. As of October 2026, the sharing options for a shared booking page are copy link, social media, email and embed, and Bookings with me pages (Microsoft now calls them Personal Bookings) offer copy link, email and email signature. Neither has a QR code. Copy the booking link, optionally add a RefID so bookings from the code can be counted, and turn it into a QR code with Microsoft Edge or any QR generator.
Get the right link#
- Shared booking page: Bookings → Shared booking pages → your page → Booking page, then copy the link.
- One service: the Bookings FAQ still describes a URL under Service booking page in each service. In April 2026, a Microsoft Q&A moderator said per-service sharing links are no longer offered, so check whether your tenant shows it (direct service links).
- Bookings with me: copy the page link from Personal booking page, or a meeting type link from the share icon on its tile. Don't use a link made valid for one booking.
Open the link in a private window first. If it asks for a Microsoft sign-in, people scanning it with their phones will hit the same screen (sign-in required).
Add tracking that works#
The only campaign parameter Microsoft documents is RefID, and its value shows in the Tracking data column of the booking export:
https://outlook.office.com/book/Clinic@contoso.com/?RefID=flyer_oct26Use letters, digits, _ and - only, and a different value per print run or location.
What we saw when testing (September 2026)#
We captured the shared booking page and the calls it makes. It read the first refid parameter in any letter case, stripped every character except letters, digits, _ and -, and stored the value on the appointment. Bookings with me pages sent no tracking value at all, so RefID only helps on shared pages.
Skip UTM tags. They have produced Bad Request pages on Bookings links, Bookings doesn't store them, and a scanned code can't be fixed once printed (UTM Bad Request). If the Tracking data column stays blank, see RefID tracking not working.
A sturdier setup is to encode your own short address, such as contoso.com/book-flyer, set up as a redirect to the Bookings link with its RefID. The code stays short and easy to scan, your site or link manager counts the scans, and you can change where it points later. That matters because the Bookings address follows the mailbox name (changing the page URL).
Generate the code#
In Microsoft Edge, open the link, right-click an empty part of the page and choose Create QR code for this page, then download the PNG. Edge encodes the address the page ends up on, after any redirect, and Bookings links redirect to bookings.cloud.microsoft. So check the encoded address, and for your own short address paste it into a generator instead. A static QR code just stores the text you give it, so any generator works. Avoid "dynamic" codes from services that route scans through their own domain unless you're happy to depend on that service staying up.
Before you print#
- Scan the printed proof with an iPhone and an Android phone, then book and cancel a test appointment from it.
- Keep the plain white margin around the code, and print it with high contrast, dark on light.
- Print the short address under the code for people who can't scan it.
- Use a link, not a QR code, in emails and on web pages. People are already on the device.
Doing this with BookingsXP#
If you need scan-to-booking reporting, the BookingsXP hosted page at bookingsxp.com/book/<your-name> can be the QR target. It records views and bookings per channel, accepts UTM tags without breaking the Bookings page, and writes the source into the booking notes. The booking is still created in Microsoft Bookings. See analytics. BookingsXP is independent and not affiliated with or endorsed by Microsoft.
