Short answer

A Bookings page shows a time only when every rule agrees. The time has to fall within business hours and within the staff member's hours. It has to fit the service's availability and the lead time window. It must not clash with anything on the staff member's Outlook calendar, including buffer time. And at least one assigned, bookable staff member has to be free. "No availability on this date" means at least one of those rules removes every slot. Work through the checklist below in order: the early checks cause most cases and are the quickest to fix.

The checklist#

Everything below is in the shared booking page, reached from Bookings home → Shared booking pages → your page, unless noted.

1. Is anyone assigned to the service?#

Open Services, select the service, and go to Assign staff. A service with no staff selected, or only staff who aren't bookable, has no times. With Multiple staff (N:1) selected, every assigned person has to be free at once, so one busy person removes the slot for everyone.

2. Do staff hours overlap business hours?#

  • Business information sets business hours. They default to 8 a.m.–5 p.m., Monday to Friday. Microsoft calls them "the hours to which all bookings are restricted".
  • In Staff, each person has a Use business hours toggle. Turn it off to set custom hours per day. A day with no hours means that person isn't available that day.

Custom staff hours outside business hours don't create slots. And if a staff member's custom hours are blank for the day you're testing, nothing shows. In one 2026 thread, setting explicit staff hours instead of relying on Use business hours brought back missing slots.

3. Is the Outlook calendar blocking everything?#

Each staff member has a setting that is on by default, and Microsoft recommends leaving it on. Microsoft's docs name it three ways: "Events on Microsoft 365 calendar affect availability", "Events on Office 365 calendar affect availability" and "Events on calendar affect availability". With it on, anything shown as busy on that person's Outlook calendar removes the matching slots. Look for recurring holds, "focus time" blocks and events marked Busy that span whole days.

If Bookings shows "This staff member's calendar can't be synced", the staff member has to share their calendar. In Outlook, select Share → Calendar. 4. Are buffers too long for the gaps?#

Buffer time is added to the appointment when Bookings checks for free time. A 60-minute service with a 15-minute buffer needs a free 75-minute block. On a busy calendar with 60-minute gaps, that service shows nothing, even though a 60-minute meeting would fit. See buffer time.

5. Is the lead time window too narrow?#

Under Booking page → Scheduling policy, or on the service if its Default scheduling policy toggle is off, check:

  • Minimum lead time (hours). A value of 48 hides everything in the next two days.
  • Maximum lead time (days). Microsoft's FAQ requires at least 24 hours between the minimum and the maximum. A maximum of 1 day only works with a minimum of 0 hours.

6. Is the service itself limited?#

On the service's Availability options, check which option is selected:

  • Not bookable hides every time.
  • Custom hours limits the service to the weekly hours you set, so days outside them show nothing.
  • A date range added with Add a different date range overrides the general setting for those dates. An old "holiday" range can still be blocking time months later.

The booking page's own Availability option can also restrict dates.

7. Is time off or a closure recorded?#

A Calendar → Add time off entry, especially an all-day one for all staff, blocks those days. Customers who try to book a closed day see a message instead of times. See time off and holidays.

8. Is the time zone shifting slots out of view?#

Bookings runs everything in the business time zone, and there's no per-staff time zone. Visitors see slots in their own local time unless Always show time slots in business time zone is ticked under Region and time zone settings. If a staff member's Outlook time zone differs from the Bookings time zone, their busy times can land on the wrong hours. 9. Is the slot already full?#

For a 1:1 service (Maximum attendees per event set to 1), a booked time is gone for that staff member. A group service stays bookable until the maximum number of attendees is reached.

10. Are staff actually bookable?#

A new staff member may still be waiting to approve free/busy sharing, may have been added as an external Guest, or may be a leaver who was never removed. Any of these can leave a service with nobody to book. Why a staff member isn't bookable walks through each case.

If the settings all look right#

Refresh the booking page in a private window. Microsoft says availability is recalculated when the page loads, and that unidentified syncing errors "usually resolve themselves after a few minutes". If a page that worked yesterday shows nothing today and no settings have changed, suspect a service-side problem. Some Q&A threads describe slots vanishing suddenly with no settings change. Open a support case if it lasts more than a day.
